Events Coordinator

Type: Part Time (Thursdays, Fridays, Saturdays) 

Position Summary: 

Tropical Fruit World is seeking a dynamic and creative Events Coordinator to oversee and manage a diverse range of events. This role is perfect for someone with a passion for unique event planning and execution. We are seeking some who thrives in a vibrant, natural setting amongst our family farm. The Events Coordinator will be responsible for organising and managing weekly farmers markets, orchestrating private orchard tours, long table lunches set amongst the orchards, coordinating kids' birthday parties, executing various seasonal events hosted at Tropical Fruit World, overseeing the bridal suite at Plantation House, and supporting vendors at the Plantation House venue. 

Key Responsibilities

Event Planning and Execution: 
    • Plan, coordinate, and execute all aspects of the weekly farmers markets, ensuring a diverse and vibrant selection of vendors and smooth operations. 
    • Organise long table lunches in the orchards, creating memorable dining experiences that highlight local and seasonal produce. 
    • Coordinate and oversee kids' birthday parties, ensuring a fun, safe, and engaging environment for children of all ages. 
    • Manage bookings and logistics at the Plantation House venue, with Fins and Botanica.  
    • Develop and implement plans for occasional seasonal events that attract both local residents and tourists, enhancing the visibility and appeal of Tropical Fruit World. 
    Vendor and Stakeholder Management: 
      • Build and maintain strong relationships with vendors, suppliers, and other stakeholders. 
      • Manage communications with all parties involved in events. 
      • Ensure that all events comply with local regulations and standards for safety and quality. 
      Marketing and Promotion: 
        • Collaborate with the marketing team to promote events through various channels, including social media, newsletters, and local media. 
        • Develop promotional materials and event schedules to maximise attendance and participation. 
        • Capture feedback from participants and adjust event strategies accordingly. 
        Budget Management: 
          • Develop and manage budgets for each event, ensuring efficient use of resources. 
          • Monitor expenditures and provide regular financial reports to senior management team. 
          Team Coordination: 
            • Coordinate with other departments to ensure event success, including grounds maintenance, café staff, tours, guest services, and security. 
            • Lead and motivate a team of staff and volunteers during events, ensuring roles are clearly defined and effectively executed. 


            • Excellent communication and interpersonal skills. 
            • Ability to work flexible hours, including weekends and holidays, as required by event schedules. 
            • Creative and innovative thinker, with a passion for creating unique guest experiences. 
            • Experience in Event Management, Hospitality, Business Administration, or related field. 
            • Strong organisational and leadership skills.
